Privacy Statement
The Ninth Lens handles enquiries, client information and reports with care. This statement explains how information may be collected, used, protected and disclosed when a person contacts The Ninth Lens or engages its services.
Information collected
Information may include names, contact details, organisation details, matter summaries, service preferences, identity or business details supplied for review, supporting documents and communication records.
Website enquiries
Use the website form only for a brief first enquiry. Do not submit identity documents, passwords, financial details, detailed evidence or highly sensitive personal information. Where a matter is suitable, The Ninth Lens will confirm a secure method for any further exchange.
How information is used
Information may be used to respond to enquiries, assess suitability, agree a scope, conduct approved work, prepare reports, manage records and meet legal obligations.
Background and pre-employment checks
Where a client requests a background or pre-employment check, the review must have a lawful purpose and an agreed scope. Candidate information should be collected and used with the required consent and only for role-relevant screening.
Data sources
The Ninth Lens may use lawful public information, licensed sources, commercial data, client-supplied information and specialist tools where relevant to the agreed service.
Client-supplied data
Where a client supplies records for review, The Ninth Lens will use them only for the agreed purpose and will not sell client-supplied data.
Reports
Reports are prepared for the authorised client and the agreed purpose. They should not be shared more widely than necessary.
Security and form protection
The Ninth Lens uses reasonable safeguards to protect enquiry information, client materials and reports. The website form uses Cloudflare Turnstile to reduce automated abuse. Cloudflare may process limited technical information to provide that service.
Disclosure
The Ninth Lens does not sell enquiry information. Information may be disclosed only where needed to deliver the service, where authorised by the client, where required by law or where professional advice is needed.
Retention
Information is kept only for as long as reasonably needed for enquiry handling, service delivery, business records, legal obligations or dispute management.
Marketing
Contact details may be used to respond to an enquiry or communicate about a requested service. Any marketing communication will include the required consent and unsubscribe options.
